CONGRESS BIDDING



The National Executive Council (NEC) of the University Students’ Association of Ghana (USAG) invites member institutions wishing to host the 16th Annual Delegates Congress to send in their application bid document.

Any Member Institution in good standing is eligible to be considered to host this year’s annual delegates congress. However, certain criteria must be fulfilled to qualify for selection.

CONGRESS REQUIREMENTS.
1. Venue for the congress.

2. Accommodation (Must be close to the venue)

3. Proposed Date (Kindly check note 2 below)

4. Social Events
There will be three main social events during the congress
- Opening Ceremony for approx. 700 - 1000 participants
- Dinner & Awards Night for approx. 1.000 participants
- Places for social outing and side attractions.
The venues for the Opening Ceremony and the Dinner & Awards Night shall be blocked at the Congress Venue or at an attractive local venue.

5. Promotional strategies: How best you can help to promote this year’s congress.

6. List possible dignitaries who can grace the Opening Ceremony and the Dinner & Awards Night as Chairman, Invited Guests, Special Guests, Guest of Honour, Musicians, poets etc.

7. List possible sponsorship contracts to aid this year’s congress

8. A budget (not an estimate) for 700 delegates and special arrangement for NEO and other Bodies (if possible). Note: NEO SHALL determine the cost of capitation but you can work with a proposed capitation by your institution. The budget should include; Feeding, Accommodation, Dinner and Excursion etc. and any other relevant thing that would be needed.

9. How best can your institution support the budget, in terms of percentage of cost sharing?

10. Proposed Programme outline for the Congress (Minor Point)

11. Any other special advantages or reason why you institution can or should host this year’s congress.
Note:
    ·    The duration for the program is four days.
    ·    The congress is likely to fall in the fourth week of July and Second week in August.

Wednesday, 30th April, 2016.

SUBMISSION OF BIDDING DOCUMENT
The detailed bid document of intent backed up with evidence should reach the Coordinating Secretary, Mr. Joseph Abu-Bonsrah Antwi (0249 - 748 676) or the Financial Controller, Mr. Prince Debra-Hammond (0542 505 181)  in electronic form by email (usagexecutives2015@gmail.com)
